Which notifications are there and how do I configure them?

Notifications collect in the notification centre, and the bell in the header shows the unread ones. 49 events trigger them, from absences through time tracking to shifts. Who receives a notification is determined per event. Four switches per person decide what additionally goes out as an email.

Where notifications arrive

The notification centre is a page of its own with all of a person's notifications. Next to it in the header sits a bell with the number of unread ones, which updates without changing page.

Clicking the bell opens a quick view with the latest notifications. From there you read, archive and switch to the full view.

  • Notifications can be marked as read individually or all at once and set back to unread.
  • Archiving and restoring from the archive works the same way.
  • Notifications older than three months are removed by a scheduled job.
  • In the app notifications also arrive as push messages.

What triggers notifications

The catalogue of triggering events covers 49 types. They spread across absences, time tracking, overtime, shifts, day plan blocks, cover arrangements and on-call duty.

There is also a notification type that informs the surrounding team about an absence without an approval process behind it.

Who receives a notification

For an event the responsible decision-maker is determined, rather than using hard-wired recipients. Whoever approves gets the notification, without anyone maintaining a recipient list.

What there is not: a deputy arrangement when the responsible person is away, an escalation after a deadline and a round-robin distribution. Anyone on holiday stays responsible.

The steps here describe a running system. Anyone who does not have one yet sets it up during the trial and keeps everything created along the way.

What additionally goes out as an email

Eighteen templates cover everything that goes out: the invitation, the invitation to an existing person, the note about an existing account, email confirmation, instant registration, password reset and password changed, the email change with a code and a note to the old address, plus the templates around absences.

Requesting and deciding an absence trigger an email in addition to the notification in the application. A person's first approved absence has a template of its own.

All templates are generated in both languages.

The four switches per person

Everyone sets for themselves what they receive. There are four separate switches, and the day plan shares the two shift switches.

Every email additionally carries an unsubscribe link. Delivery is cancelled through it without signing in, via a token-based address.

When an email does not arrive

Responses from the delivery service are processed and lead to a block list. An address that is permanently unreachable is no longer written to.

The block applies to the address, not to the person. Changing the address lifts it.

Follow-up questions

Does a deputy get the requests when the responsible person is on holiday?
No. Responsibility does not move. There is no deputy arrangement, no escalation after a deadline and no round-robin distribution. Whoever may decide has to decide, including after the holiday.
Can we switch emails off entirely?
Per person, yes. A switch in the user settings turns off the emails; the notification in the application remains. Every email also carries an unsubscribe link that works without signing in.
How long do notifications stay?
Three months. After that a scheduled job removes them. Archiving helps with tidying up; it does not extend the retention.
Why is a person no longer receiving emails?
Their address may be on the block list because the delivery service reported it as permanently unreachable. The block attaches to the address, and changing the address lifts it.
Does the switch for shift reminders also apply to the day plan?
Yes. The day reminder the evening before and the reminder after the last block use the same two switches. A second unsubscribe route for the same intent is deliberately absent.
