When Excel reaches its limits

The 6:40 am call rarely reaches the person who has to plan.

A sick note affects the shift, the cover and payroll. On paper it passes through several hands. In MetronHR the employee reports it through the app, the manager sees the gap in the plan immediately, and the absence appears in the month-end report for the tax firm.

When do I have to report sick?

Without undue delay (section 5 (1) of the Continued Remuneration Act). In practice that means before the start of work. What must be reported is the incapacity and its expected duration, not the diagnosis.

From when do I need a medical certificate?

If the incapacity lasts more than three calendar days, the medical assessment must be obtained no later than the following working day (section 5 (1) EFZG). The employer may require it earlier, including from the first day.

Do I still have to hand in the sick note?

As a person with statutory health insurance, generally no. Since 1 January 2023 employers retrieve the incapacity certificate electronically from the health insurer (section 109 SGB IV). The duty to see a doctor and to inform the business remains. Privately insured people and mini-jobs in private households are exempt from the electronic notification.

How long is pay continued?

Up to six weeks for the same illness, provided the employment has lasted at least four weeks (sections 3 (1) and 3 (3) EFZG). After that the health insurer pays sickness benefit.

What applies if my child is ill?

People with statutory health insurance are entitled to sickness benefit when a child under twelve is ill (section 45 SGB V), limited to a set number of days per child per year. There may also be an entitlement to paid time off under section 616 BGB, provided it is not excluded in the employment contract.
