What is in the template?

Ready to use, with formulas, sample data and a legend.

  • 25 people times twelve months on one sheet
  • Entitlement, taken and remaining per person automatically
  • A sheet of its own with the nine nationwide public holidays for 2027
  • The first column and the header row frozen
  • Notes on sections 3, 5 and 7 of the Federal Holiday Act on the sheet

When does the template fit?

Ideal as an interim solution or for small teams, with clear limits.

  • Annual planning in autumn, before the requests come in
  • An overview of bottlenecks in school holiday periods
  • A basis for the conversation about remaining holiday
When Excel reaches its limits

The spreadsheet does not see two requests for the same week.

An annual sheet shows who has taken how many days, but not who is away at the same time. MetronHR checks the request against the team calendar, warns about overlaps, calculates the entitlement pro rata and reminds people about remaining holiday before it lapses.

Frequently asked questions

Answers on usage and legal aspects.

Nine: New Year's Day on 1 January, Good Friday on 26 March, Easter Monday on 29 March, Labour Day on 1 May, Ascension Day on 6 May, Whit Monday on 17 May, German Unity Day on 3 October and the two Christmas holidays. Easter Sunday falls on 28 March in 2027. Corpus Christi, All Saints' Day, Assumption Day, Reformation Day and Epiphany apply only in individual states and are therefore not on the sheet.

Via the number of working days a week, not via the hours. Anyone working three days instead of five has three fifths of the entitlement. So 20 working days on a five-day week become twelve. If the number of working days changes during the year, each period is calculated separately.

One twelfth of the annual leave for every full month of employment, where the six-month qualifying period has not yet been met or where the employment ends in the first half of the calendar year (section 5 BUrlG). Anyone who has met the qualifying period and leaves in the second half of the year is entitled to the full annual leave.

In principle on 31 December 2027 (section 7 (3) BUrlG). Carrying it over until 31 March 2028 requires urgent operational or personal reasons. Under the case law of the Federal Labour Court, however, leave lapses only if the employer has previously pointed out the impending lapse and asked the employee to take it.
